CASA of the Eastern Panhandle - Visit Coordinator

The Visit Coordinator will schedule, coordinate, and supervise visits between a child/children and their parent(s) in a secured setting. The Visit Coordinator will be required without bias to accurately document all visits and participate in regular team meetings. Additionally, the Visit Coordinator must have the ability to intervene, redirect and/or end supervised visits when needed. The Visit Coordinator will need to possess a high level of work ethics with handling confidential client information, appropriately set professional boundaries, and follow safety plans. This flexible position will require periodic evening or weekend work.

Duties and responsibilities:

  • Maintain a shared staff calendar. Schedule, arrange, and supervise visits between a child/children and a non-custodial party as ordered by Child Protective Services.
  • Manage data and follow recording standards. Document observation notes and create court records in a clear and concise manner. Maintain full documentation about family visits, including appointment activities, referrals, orders, invoicing, and video.
  • Assure the safety and welfare of the child and adults during the visitation.
  • Follow visitation policies and procedures.
  • Communicate any improvements, needs, or program ideas with the supervisor.
  • Maintain office and visitation space, organize and order supplies, and support administrative duties.
  • Attend and actively participate in case meetings, staff meetings and maintain weekly contact with parties. Attend court hearings if needed.
  • Adhere to policies related to HIPAA, confidentiality, information sharing and appropriate use of agency client databases.
  • Actively engage in all data collection, reporting, and program evaluation activities.

Qualifications and desired skills

  • Must be a dedicated and resilient advocate for vulnerable families, a persuasive communicator, and a collaborative partner to best deliver appropriate resources, support client engagement, and ensure best possible outcomes
  • Must have valid driver’s license and agree to CASA-EP screening and background check
  • Must successfully complete CASA-EP’s volunteer advocacy training, including supplemental training related to the role of a parent support professional
  • Have experience working with at-risk families, especially those in crisis, involved in the justice system, and who are experiencing the effects of substance use disorders
  • Able to respect and relate to individuals from various backgrounds and cultures in a caring and sensitive manner
  • Good oral and written communication skills
  • Demonstrated service skills, good listening, patience and composure in stressful situations, emotional maturity

The Family Visitation Program

Family visits hold great significance in the lives of children in foster care. Separation can be confusing for children as they lack the ability to understand why they cannot be with their parents. Visitation is to maintain the parent-child attachment but it is also the right of the child. The circumstances leading to court-ordered supervised family time are varied and can be complicated requiring professional monitoring and safe boundaries.
